Buyer planning guide

Which documents should I request for a commercial refrigeration proposal?

Prepare a model-specific document request covering specification sheets, installation drawings, electrical information, manuals and evidence references for the exact refrigeration configuration offered.

Stainless steel refrigerated preparation counter with ingredient pans and a glass cover in a kitchen

How do I ask for documents that match the equipment being offered?

Start with the proposal reference and give each equipment line its own document request. Copy the offered model code, configuration description and quantity beside the line number. Include the destination and your project reference. Ask the response to associate every attachment with those entries. A folder of refrigeration brochures is difficult to use when the proposal contains several models or optional arrangements.

For an illustrative cafe project, label a display cabinet as line A and a preparation counter as line B. Request documents against A and B separately, even if both appear in one catalog. If a document covers a product family, ask which pages and entries describe the offered configuration. Keep the proposal revision with the request so a later model substitution can be reviewed against the documents for that replacement rather than the original selection.

What should I request alongside the product specification sheet?

Ask for a specification sheet identifying the offered model and its stated configuration. List the information your purchasing team needs to compare: outside dimensions, stated operating conditions, electrical details, internal arrangement and included components, where relevant to the request. Record the document title, revision or date and page beside each answer. Keeping the source visible makes a later question about a figure much easier to explain.

Separate published data from your project requirements. If your layout specifies an outside width, put that requirement beside the corresponding dimension in the offered sheet. If the sheet does not address a requested detail, ask for a written answer tied to the model and configuration. Leave the original entry visible in your comparison record. Replacing it with a figure from a different cabinet would hide the question your inquiry needs to resolve.

Which drawings should my layout team ask to see?

Describe the layout questions the drawings must answer. These could include the complete outside dimensions, the position of connections, door movement or the location of service access. Attach your own labelled plan and identify the equipment line on it. Ask for a drawing showing the offered configuration, with units and enough views to answer the questions you have marked.

Record dimensions from the returned drawing with their labels intact. Keep body dimensions, projecting components and installation instructions in separate entries. For the cafe example, the designer could mark the counter position on plan LAYOUT-02 and ask the response to show the connection locations for line B. A photograph of the counter gives visual context, but the designer still needs the drawing reference and its dimensions to update that specific location.

How should I request electrical information for the proposed configuration?

Send the electrical information already recorded for your site, identifying its source, and ask the proposal to state the equipment configuration being offered against it. Request the relevant specification, installation instructions and electrical diagram where your installer needs one. Keep each answer attached to the equipment line rather than applying a single general electrical description to every unit in the project.

If a rating-label image is supplied, ask which model and configuration it represents. Store it with the matching document references and pass the packet to the person reviewing the site connection. If the image and specification sheet use different descriptions, quote both entries in a clarification question. Ask which applies to the offered unit. This creates an answerable document request without treating a plug photograph or a similar model's sheet as the electrical specification for the proposal.

How do I ask about certificates or other supporting evidence?

List the evidence your project team has requested and identify the person or project document that supplied the requirement. Ask whether supporting documentation is available for the exact offered model and destination. Request the complete document reference and the model scope it identifies. Keep the request separate from the specification sheet so receiving a brochure does not accidentally close an evidence question.

When a document arrives, record its title, reference, named models and the proposal line it is meant to support. Ask about any difference between the offered code and the models shown in the document. Pass the complete file to the person responsible for reviewing that requirement. A logo in a product image does not provide the same information as the underlying document. Record the reviewer's response against the particular requirement rather than writing a blanket approval across the equipment schedule.

Which manuals and component lists belong in the request?

Ask for the operating, cleaning and installation instructions relevant to the offered configuration. Say who will use each document: the installer, operating team or person maintaining the equipment record. Request the available language and document revision. If one manual covers several arrangements, ask which sections apply to the proposed unit and keep that answer with the file.

Include a request for the proposed accessory or component list where the order discussion includes separate pieces. Match those entries to the proposal rather than assuming everything shown in a photograph is included. For the preparation counter, purchasing might ask the response to identify the components described in line B and their document references. Keep optional pieces in their own entries. This helps the team distinguish instructions for the offered equipment from illustrations of another arrangement in the same manual.

What should I send JINYU as the final document request?

Send JINYU, Shaanxi Jinyu Kitchenware Co., Ltd. (陕西金宇厨具有限公司), the proposal reference, destination and equipment schedule with your document questions beside each line. Attach the current layout revision and any written project requirements relevant to those questions. Use short request identifiers, such as A-Drawing and B-Manual, so the response can name the question each attachment addresses.

Keep a file index with the request identifier, returned filename, model scope, revision and remaining question. Record an unanswered request as a question for the next response, without filling the gap with another model's document. When the offered configuration changes, update the affected request and ask which files still apply. Share the resulting index with purchasing, layout and installation colleagues so each person reviews the same proposal and can trace an answer back to its attachment.
