Buyer planning guide
How do I request a change to a custom bag specification?
Prepare a custom bag revision with an exact change list, marked drawings, artwork references, affected quantities and a clear record of the response.

What should a custom bag change request identify first?
Name the bag reference and the specification revision you want to change. Attach that version, then give the revised request a new reference. A short change list should show the field, its current value, the requested value and the affected bag version. This lets the person reading it locate the exact starting point without searching through several messages for the most recent instruction.
For an illustrative bookshop project, BOOK-TOTE is the buyer's project label, and BRIEF-r2 is the current document. A request named BRIEF-r3 could change the body depth while retaining the other listed construction details. These labels describe a hypothetical buyer project, not JINYU catalog references. Write that relationship at the top of the request. If you have already received a proposal or sample, include its reference too, so the reply can identify which earlier work the change affects.
How should I describe a dimension or construction change?
Put the current and requested dimensions beside each other, with units and measurement labels. State whether the dimensions cover the finished body, the base or the handles. A marked drawing should use the same labels as the written specification. If depth changes, mark which panel or gusset measurement you mean. Describe any requested pocket, closure or handle alteration separately rather than putting several instructions under a general size change.
In the bookshop example, the buyer might request body depth to change from 10 cm to 12 cm, with width and body height retained. Those figures are illustrative requirements, not available product specifications. Ask the response to identify any related construction changes needed for that request. Record each proposed adjustment explicitly. A reply that changes the base and the handle attachment should show both, even when the original request mentioned only depth.
What if the artwork changes but the bag construction stays the same?
Identify the artwork file being replaced and the file that supersedes it. Include the printed side, design reference, artwork dimensions and placement measurements. Use a marked proof to show the change. If only one side changes, name the retained file for the other side. A thumbnail helps someone recognise a design, while the file reference identifies the artwork that the request actually discusses.
For BOOK-TOTE, an illustrative change might replace the front graphic while keeping the back graphic and body specification. State those retained references in the request, and ask for a revised proof showing both sides. If a larger print area is proposed, review its relationship to seams, pockets and handle attachments on that proof. Keep artwork revisions separate from construction revisions so the response can explain whether the requested print layout also affects the bag itself.
How do I show which colours, designs and quantities are affected?
Use one row for each bag version, keeping its design and colour references together. Put the requested quantity beside that row and state whether the row replaces an earlier request or adds a separate version. Recalculate the combined quantity from the revised rows. A single total cannot show whether an artwork change applies to every bag or to one design within the project.
Suppose the bookshop brief contains a front-graphic tote and a plain tote. If only the printed version changes, carry the plain version into the revised breakdown with its existing reference. Ask the reply to address the rows individually, including any proposed alternative. Where the construction change affects both versions, name both rows in the change list. This makes the relationship between the written instruction and the quantity breakdown visible before the proposal is revised.
Which packing and label instructions need updating after a revision?
Check whether the change affects the bag version names used on individual packing, carton marks or the packing list. A revised colour reference in the brief should match the reference used in those documents. Keep the bag quantity separate from the requested number per carton. If those packing instructions have already been discussed, attach their revision rather than expecting the reader to reconstruct them from the bag specification.
For the bookshop example, changing the printed design could require a new version label even when the bag dimensions stay the same. Ask the packing response to use that label consistently. If carton arrangement or packed dimensions are also revised, request those details in the reply against the affected version. Keep destination and receiving instructions with the packing request, so a change in the bag description does not obscure where each version belongs.
How should I record the response and any alternative proposal?
Ask the response to identify your request revision and address each change-list row. Keep the proposed specification, artwork proof and packing response together. Where an alternative is offered, record the requested detail and the alternative in separate columns. Give the alternative its own reference and carry that reference into later discussion. This preserves the distinction between what you asked for and what the reply proposes.
Compare the returned documents against the whole revised brief, including details you intended to retain. A construction drawing and an artwork proof can each be current while referring to different bag revisions. Check their references together. If a sample is requested, name the exact specification and artwork versions it should represent. Keep the sample response with those documents so the next discussion starts from an identifiable bag configuration.
What should I send JINYU as the complete revision package?
Send JINYU, Shaanxi Jinyu Kitchenware Co., Ltd. (陕西金宇厨具有限公司), the existing bag reference, current specification, revised change list, marked drawing and artwork file references. Add the version-by-version quantity breakdown and any affected packing instructions. Include the proposal, proof or sample reference already under discussion. Explain which documents the new package supersedes, using their actual revision names.
Use a short cover message that lists the changes and asks for a response against the new revision. For BOOK-TOTE, that could identify a body-depth change, a replacement front graphic and revised packing labels, each with its own document reference. Retain the resulting response with the package. If another change follows, start from that record and issue the next revision, allowing purchasing, artwork and packing colleagues to follow the same sequence.
