Buyer planning guide

How should I review a physical custom bag sample?

A buyer Q&A for checking custom canvas tote, backpack and travel bag samples: dimensions, contents, seams, closures, decoration and written approval records.

What should I have beside me when reviewing a custom bag sample?

Use the current written brief, the proposed construction details and the artwork proof alongside the physical sample. Give the sample its own reference and record the date of review. Identify whether it represents a canvas tote, backpack or travel bag, and list the features being reviewed. If your project contains several versions, keep each sample connected to its matching brief rather than treating one bag as approval for every version.

Prepare the actual items the bag is intended to hold. Include their packaging if that forms part of the intended use. Set aside a clear surface for measurements and photographs, and record who is responsible for consolidating comments. Separate the sample review from the artwork proof review: the proof documents the design proposal, while the physical bag allows you to examine the construction supplied for review. Keep both records available when making a decision.

How do I check the dimensions and whether my contents fit?

Write down the measurement points before measuring. Distinguish the overall width and height from the opening, base and usable space around pockets or closures. Record units and show each measurement in a photograph or annotated sketch. A measurement taken across a folded bag should not be compared with a measurement taken while the bag is filled without explaining the difference. Ask the written specification to identify the same reference points.

Place the intended contents inside and describe how they sit. Check whether the opening permits insertion and removal, whether the closure operates with those contents and whether internal divisions suit the planned arrangement. Record the contents used during review so another reviewer can repeat the check. This exercise records fit for that particular set of items; it does not establish a general carrying capacity or approve a heavier load. Any load requirement belongs in the written brief for separate assessment.

What should I inspect around seams, handles and straps?

Examine the visible seams around the body, base, opening and attachments. Photograph any open stitching, loose thread, uneven join or area that differs from the proposed construction. Identify the location of each observation using the same front, back and side references as the brief. Describe what you can see rather than assigning a cause or declaring a strength rating from appearance alone.

For a tote, review handle length and attachment position against the proposed design. For a backpack or travel bag, check strap adjustment, attachment layout and the way loose strap ends are managed. Try the intended carrying arrangement with the review contents and record whether access or adjustment is awkward. Do not convert a short handling check into a durability claim. If seam strength, repeated use or a particular carrying load is a purchasing requirement, request an agreed assessment method and written acceptance criteria.

How should I review pockets, zips and other closures?

List every pocket and closure in the construction brief, then check the sample against that list. Record the location, opening direction and accessibility of each feature. Operate zips and fasteners through their normal movement and note catching, obstruction or interference with nearby fabric. Use photographs to show the feature involved, especially where several pockets look similar. Avoid forcing a closure that does not move normally.

Repeat the access check with the intended contents inside the bag. Check whether an item blocks a pocket, whether a zip can close without rearranging the contents and whether straps obstruct the opening. Describe which arrangement you tested. If the buyer brief includes a specific organizer, lining or fastening detail, record whether that detail is present. A sample photograph on a category page cannot establish which accessories or internal features belong to your order; keep the accepted feature list attached to the sample record.

How do I review fabric appearance and decoration together?

Identify the fabric and colour references used for the proposed bag. Compare the physical sample with those references under consistent viewing conditions, and record the reference names in your notes. Examine the lining separately when one is included. Photograph differences for discussion, while keeping the physical reference available: a photograph is useful for locating a concern but does not replace the reference used for acceptance.

Review the decorated panels against the current artwork proof. Check wording, orientation, dimensions and placement relative to seams, pockets and handles. Look at the bag in its intended filled shape as well as laid flat. If construction changes alter a decorated panel, request a revised placement record. Do not infer washability, waterproofing or colourfastness from appearance. If any of those properties matter to the purchase, define the requirement and ask for relevant evidence for the proposed material and decoration.

How should I request corrections without losing track of the accepted version?

Create one numbered comment list tied to the sample reference. Give each comment a location, an observation and a requested outcome. For example, identify the affected pocket and the item that could not be inserted rather than asking for a general improvement. Mark which comments concern construction, dimensions, decoration or documentation. Attach photographs with matching numbers so the written comment and image can be reviewed together.

When a revision is supplied, connect it to the earlier comment list and check each requested change. Keep unresolved comments visible in the review record, and identify which features have already been accepted. If a change affects another feature, review that relationship again: moving a pocket can alter decoration space or access. Preserve previous samples and documents as project records, with their version status clearly labelled. A new sample should have a distinct reference rather than silently replacing the evidence used for an earlier decision.

What belongs in the final sample approval record?

Identify the accepted sample, construction specification, dimensions, artwork revision and colour references in one written record. State the scope of approval and list any remaining actions explicitly. Retain photographs of the accepted version, the consolidated comments and the written response to those comments. The people preparing the order should be able to identify the accepted bag without relying on a conversation or an unlabelled photograph.

Keep sample acceptance separate from the commercial terms of the order. The written order documents should identify the selected configuration and any agreed assessment arrangements. For a JINYU inquiry, send the bag type, intended contents, dimensions, requested quantity and the features your review needs to cover. JINYU's legal entity is Shaanxi Jinyu Kitchenware Co., Ltd. (陕西金宇厨具有限公司). Custom canvas totes, backpacks and travel bags follow a custom brief; small-quantity non-woven bag requests use the stock selection.
