Buyer planning guide

What should I include in a stock non-woven bag availability inquiry?

Request exact stock non-woven bag options with model and variant references, colour preferences, quantities, acceptable alternatives and destination allocations.

Pink floral tote with black loop handles beside flowers in soft daylight

What makes a stock bag inquiry specific enough to answer?

Name the existing bag reference, requested variant, colour preference and quantity in the same row. Add the destination and explain the intended use in one sentence. Ask which exact stock options are available for that request. A catalog page supplies a reference for the discussion; the reply needs to identify the actual option being offered. For small-quantity non-woven requirements, use the stock selection.

Consider a hypothetical boutique preparing bags for two branches. Give the inquiry the reference BOUTIQUE-01 and label its bag rows A and B. Row A might request a loop-handle tote, while row B requests a deeper shopper. Attach the relevant product links beside those rows. This gives the response two identifiable questions instead of one general request for shopping bags, where a photograph could be interpreted as a size, colour or print instruction.

Which model and size details should I copy from the catalog?

Copy the model code and variant code together. JY-PL-01 STD lists a 38 × 42 × 10 cm body, while JY-PL-01 FLAT lists 38 × 42 × 0 cm. JY-PL-02 STD lists 40 × 35 × 15 cm. These are published outside width × height × depth references, excluding handles. They identify different bodies even when two options share the same front dimensions.

In BOUTIQUE-01, write JY-PL-01 STD beside row A rather than just 38 × 42. Put JY-PL-02 STD beside row B and retain its three measurements in the same order. Ask the reply to use those row labels when describing available options. If a different code is offered, record its own dimensions alongside it. Keeping both codes visible makes the proposed substitution clear without silently replacing the original request.

Does a floral product photograph identify an available stock print?

Identify what you want from the image: the body shape, handle arrangement, overall colour or particular printed design. Attach the page link and describe that feature in words. Ask for photographs of the actual stock option being proposed, with its reference attached. A floral tote image can help communicate your preference, but it does not establish that the pictured print and colour are available for the requested quantity.

For the boutique, row A could request a plain dark body as the first choice and ask which other plain colours are offered. A separate floral image could be marked as a visual preference for row B. Keep those instructions distinct. If the response shows a different print, ask which row it addresses and whether the body code also changes. The review then compares a named offer with the buyer's stated preference.

How should I show quantities for several colours or receiving locations?

Use one quantity entry for each model, variant and requested colour combination. Then show how that quantity is allocated between destinations. Keep the total requested bag count separate from the destination breakdown so a colleague can add the rows and check them. Include the destination country and receiving location for each allocation, with any requested grouping or identification beside it.

For an illustrative request, row A could contain 120 bags split between Branch North, 70, and Branch South, 50. Row B could contain 80 bags, with 40 for each branch. The request totals 200 bags; these are hypothetical buyer quantities, not an availability statement or order threshold. Ask the reply to address the requested combination. If one colour is offered for only part of a row, record that proposed quantity before deciding how the branches would share it.

How do I describe acceptable alternatives without making the request vague?

State the first-choice reference and describe which specific features can vary. For example, the boutique might accept a different plain body colour while keeping the requested model and variant. Another row might allow a different stock body, provided the offered code and dimensions are supplied for review. Keep each alternative attached to the row it could replace, rather than giving one general instruction covering the whole inquiry.

When a reply proposes JY-PL-01 FLAT against a request for STD, retain both references and note the changed body depth. Ask for the proposed option's material description and photographs, plus a sample reference if a sample is offered. Review the proposed bag against your contents using the linked sizing guide. Record the selected option in the current inquiry revision so later packing instructions use the bag your team actually chose.

What if I want local printing or a change to the stock bag?

Describe the requested decoration separately from the stock body. If you intend to print locally, say that you are requesting plain bags and ask for the proposed material and sample reference for your printer's assessment. Keep the artwork file, intended decoration position and printer's review with that project record. Selecting a plain stock body does not establish the result of a later printing process.

A request for new body dimensions, different handles or a sewn pocket describes a construction change. Identify that requirement explicitly instead of adding it to the stock row as though it were an existing option. Small-quantity non-woven selection is stock only. If you are considering a custom canvas tote, use the separate canvas brief and describe the construction there. Preserve the original stock inquiry so the two routes remain understandable when your team compares the replies.

What should I send JINYU, and how should I record the response?

Send JINYU, Shaanxi Jinyu Kitchenware Co., Ltd. (陕西金宇厨具有限公司), the model-and-variant rows, requested colour preferences, quantities and destination allocations. Include product links, relevant photographs and a short list of acceptable alternatives. Give the inquiry a revision identifier and ask the reply to identify the actual stock options against those rows. Add any requested packing identification for the receiving locations.

For BOUTIQUE-01, collect the response in the same two-row record. Keep the requested option, offered option, offered quantity and evidence reference in separate fields. Date the response so it remains distinguishable from an earlier discussion. If the allocation or chosen bag changes, update the affected row and its destination totals together. Send the revised record with the next inquiry message, allowing purchasing and receiving staff to work from the same selected references.
