Buyer planning guide

How should a restaurant group keep spare-parts records for topping fridges?

Organize model labels, documents and service records for countertop topping fridges across restaurant sites.

JINYU GN-1130SC countertop topping fridge with raised lid

Why prepare a spare-parts record when buying topping fridges?

A restaurant group can make service requests easier to interpret by recording each topping fridge as it enters service. The purchasing team may know the model, while the site team knows the location and the service provider sees the appliance label. Bring those details together in one record. This is especially useful when several counters look alike but have different configurations. A parts record does not replace the supplier's manual or a qualified technician's assessment. It gives the people arranging support a reliable starting point and reduces the chance that an inquiry describes the wrong unit. Agree who owns the record and how each site can report a correction. Review the list when a site opens, closes or transfers equipment so its location remains useful.

What should identify each appliance?

Assign an internal equipment reference to each cabinet and record the site, room and counter position. Copy the model and serial number from the actual appliance label after receipt, and retain a legible photograph of that label. Record the purchase reference and the date the information was collected. If the label and the order describe different configurations, keep both records and ask the supplier to explain the difference. Do not use a site nickname as the only identifier: a counter can move or be renamed. Give the site manager a copy of the reference and keep the same identifier on maintenance records.

How can a model comparison help organize the record?

JINYU lists the GN-1130SC countertop topping fridge at 1130 × 405 × 280 mm with four 1/3 GN positions. The GN-1305SC measures 1305 × 405 × 280 mm and has five 1/3 GN positions. Both have hinged lift-up lids. Record the model and the ordered configuration for each site instead of treating the two cabinets as interchangeable. The 175 mm difference in width is useful when matching an appliance to the counter plan, but dimensions alone do not identify a spare part. Use the actual appliance label and supplier documentation for the unit being serviced.

Which documents should purchasing request?

Ask for the operating and maintenance documents applicable to each offered configuration, together with any available parts identification information. Keep the final order, accessory schedule and supplier response alongside them. Label each document with the model, configuration and revision shown on it, and note which site units it covers. If a document applies to several cabinets, link to the same controlled copy from each equipment record. Give site staff a practical way to find it during a service request. A document for a similar looking unit should not automatically be assigned to another configuration without checking its applicability.

How should a site describe a part it needs?

The person reporting an issue can provide the equipment reference, site location, model, serial number and a clear description of the affected part. Photographs of the complete appliance and the relevant area can help the supplier understand the request. Include any identifying marks that are visible without dismantling the equipment. Describe the observed issue and when it occurs, rather than guessing that a particular component has failed. Send the request with the applicable manual reference if one is available. The supplier or service professional can then identify the required part and explain what further information is needed.

How can purchasing compare a parts proposal with the request?

Match the proposal to the equipment reference and the model and serial information supplied by the site. Review the part description, identifier and quantity against the supplier's response, and ask how any proposed substitute relates to the original configuration. Keep the question and the answer with the order record. If a technician is involved, share the proposed part information with that person before the site schedules the work. A photograph can help identify a request, but its appearance alone is not evidence that a part is compatible. Record the approved proposal version so subsequent orders use the correct reference.

How should the team record a repair or replacement?

After work is completed, ask the service provider for a record identifying the appliance, work performed and parts used. Add the document to the relevant equipment record and note any changes to the configuration or part references. The site manager can check that the location and equipment identifier are still current. If the appliance is moved to another counter, update the location while preserving its previous service history. Keep supplier documents and service records accessible to the people responsible for future maintenance. Follow the applicable manual and local requirements when arranging service and returning the appliance to use.

What should a multi-site inquiry include?

Send Shaanxi Jinyu Kitchenware Co., Ltd. (陕西金宇厨具有限公司) a separate line for each model and configuration, with the intended destination and the number of units at each site. For existing equipment, include the model and serial details from each relevant label and the equipment references used by the sites. Attach photographs and identify the documents or parts information requested. Ask the supplier to indicate which response applies to each line. Circulate the response to purchasing, site management and the service contact, and preserve the final correspondence with the equipment records so a later request starts from the same information.
