Buyer planning guide

How do I brief several custom bag designs in one inquiry?

Separate bag construction, artwork versions, requested quantities and delivery groups in one custom bag inquiry, with a worked example of a three-design project.

Plain canvas tote with fabric handles on a neutral studio background

What belongs in an inquiry covering several custom bag designs?

Give each distinct bag version a reference and its own row. Record the bag type, construction reference, fabric and colour preference, artwork reference, requested quantity and destination. Start with the differences the supplier needs to understand: three logos on one tote design is a different brief from three bags with different dimensions and compartments. The inquiry should make those differences readable without opening every artwork file.

For example, use TOTE-A for a visitor bag, TOTE-B for a second-language version and PACK-C for a staff backpack. Those labels describe a hypothetical buyer project. Put the intended contents beside each row and identify who will use that bag. Keep a project total at the bottom, with separate totals by bag type, so a combined count never hides the construction mix.

When should a colour or artwork change get its own reference?

Use a separate version reference whenever the reply must distinguish a requested combination. If two totes share dimensions, handles and fabric but carry different wording, keep a common construction reference and give each artwork version its own row. A changed body colour also needs an explicit entry, even if the logo file stays the same. This lets the reply identify the exact fabric, decoration and quantity together.

Write shared details once in a named construction brief, then show exceptions in the version rows. TOTE-A and TOTE-B could both use TOTE-CONSTRUCTION-1, while ART-EN-r2 and ART-FR-r1 identify their different artwork. If TOTE-B also needs a different pocket, give it a revised construction reference. A filename containing a language code describes the file; the row establishes which bag receives it.

How should I show requested quantities without counting alternatives twice?

Put a requested count against each version before adding the total. A worked inquiry might request 300 TOTE-A, 200 TOTE-B and 100 PACK-C: 500 totes plus 100 backpacks, or 600 bags overall. These are illustrative buyer-request quantities, with availability and project terms left for the supplier response. The arithmetic describes the requested mix; it does not establish a combined production basis across different bag types.

Keep alternative scenarios outside that total. If you are comparing an all-tote project with a tote-and-backpack project, label them Scenario 1 and Scenario 2 and give each its own complete count. Ask for separate replies to the scenarios. Avoid a single column containing both the selected version and its possible replacement, which can make the requested total appear larger than intended.

Which size and construction details need to stay attached to each version?

State finished width, height and depth with units, and explain whether handles are excluded. Attach the contents list and any dimensioned sketch to the construction reference used by that row. For a tote, describe handles, opening, closure and pockets. For a backpack or travel bag, identify the compartments and carrying arrangement. A common logo does not make those construction requirements interchangeable.

JINYU has separate custom canvas tote and custom backpack/travel bag inquiry pages. Use the page matching each proposed bag type when preparing its construction brief. Where two versions share a body but differ in lining or closure, write that difference in the row rather than leaving it inside a reference photograph. Record which details are requirements and which need a proposal so the reply can address each directly.

How do I map artwork files to the right bag and panel?

Give every artwork file a version reference and map it to a bag row and decorated panel. For TOTE-A, record ART-EN-r2 on the front and state whether the back is plain or has separate artwork. Include the proposed print dimensions with units and a placement preview. TOTE-B can share the construction brief while using ART-FR-r1; its row still needs its own placement reference.

Supply the source file and matching preview together. If one design uses different wording, check the wording in that version rather than approving only the shared logo. Identify who collects artwork comments and which file is current. The artwork-proof checklist covers detailed proof review; this inquiry mapping establishes which design and panel the requested proof should represent.

How should I describe deliveries split between locations or teams?

Add a delivery breakdown beneath the version list and reconcile it with the same totals. In the example, TOTE-A might be split as 180 for Location North and 120 for Location South; TOTE-B remains 200 and PACK-C remains 100. The TOTE-A split still totals 300. Identify each receiving location with country, city and postcode, and ask how the proposed packing would identify the versions.

Distinguish a destination from an internal distribution group. If all bags arrive at one warehouse and your team distributes them later, describe one receiving address plus the internal allocation. If separate deliveries are requested, list the addresses separately. State any requested carton labels or version separation as part of the inquiry, with the proposed packing arrangement addressed in the supplier reply.

What should I ask JINYU to return against the design breakdown?

Ask JINYU, Shaanxi Jinyu Kitchenware Co., Ltd. (陕西金宇厨具有限公司), to preserve your version references when replying. Request a response against each row covering the proposed construction, material, decoration scope, quantity and packing arrangement. Ask which sample or proof would represent each combination. Shared artwork can be reviewed together, while a different pocket or closure needs a reference that shows the changed construction.

Reconcile the reply with your scenario total before comparing the proposed details. If a version is combined, substituted or omitted, identify the affected row and ask how it changes the mix. Keep the accepted scenario and dated version list together for the next sample discussion. A later change to TOTE-B should identify that row, its current artwork and any effect on quantities or destinations.
