Buyer planning guide
How should a restaurant hand over a cold-prep counter purchase?
Prepare a restaurant cold-prep counter inquiry with a model comparison, pan schedule, site drawing and receiving handover.

Why prepare a purchasing handover for a cold-prep counter?
A restaurant adding a cold-prep counter needs a shared description of the work, the equipment and the site. Start by naming the dishes assembled there and the person responsible for the layout. Give purchasing, the kitchen manager and the installer the same counter sketch and model shortlist. Mark the boundary between the proposed topping fridge and other refrigeration, preparation surfaces and washing facilities. Record which decisions belong to each person and keep replies with the drawing revision. This gives the supplier a useful inquiry and gives the restaurant a way to check the response against its actual operation before the equipment schedule is finalized. Include the intended counter position in the project reference so the same information can be found during installation and receiving.
How should the kitchen describe its ingredient flow?
List the chilled ingredients used at the counter and the dishes for which each is needed. Sketch the sequence from reserve storage through portioning, assembly and handover. Identify the surfaces for cutting, containers, utensils and completed dishes. Mark the routes for replenishment and returning used pans to washing. If another station shares the ingredients, show where the workflows meet and who is responsible for each transfer. Review the sketch with the people who will work there. Send the ingredient list and workflow with the inquiry so the supplier can understand the proposed pan arrangement and the space around it.
How can a buyer compare two countertop models?
JINYU lists GN-1130SC at 1130 × 405 × 280 mm with four 1/3 GN positions, and GN-1305SC at 1305 × 405 × 280 mm with five 1/3 GN positions. Both have hinged lift-up lids; the latter is 175 mm wider. Draw each footprint on the counter plan and place the ingredient and utensil areas alongside it. Compare the positions against the menu rather than assuming one pan per dish. Ask for the lid opening envelope and installation and service clearances for the offered configuration. External dimensions alone do not describe the complete operating space.
What should be included in the pan schedule?
Create a schedule naming each intended ingredient position and the pan or container used there. Mark any ingredients that share a position at different times, and identify spare pans for changeover separately from the positions in the cabinet. If the restaurant already owns pans, send their dimensions and photographs and ask whether they fit the proposed configuration. Request an itemized response showing which pans and supports are included and which are separate. Purchasing can compare that response with the kitchen schedule and include the agreed accessories on the order. A product photo is useful context, but it does not replace an itemized equipment list.
How should the counter and electrical information be shared?
Measure the available counter width and depth and show walls, shelves, adjacent appliances and staff access on a dated drawing. Include photographs from the working side and identify the proposed connection location. Send the site supply details and destination with the model shortlist. Ask for the electrical requirements and installation documents for the exact offered configuration. The qualified person responsible for the connection can review those documents against the site, while the counter designer checks support, access and the opening lid. Record each response against the same revision and circulate an updated drawing if the equipment or position changes.
How should reserve stock and food handling be planned?
A topping fridge is one part of the ingredient flow. Identify the separate reserve storage, the person who brings replacement pans and the surface used for the exchange. Describe what happens during service and at close, including the route for pans that need washing. Ask for the selected model's operating information and give it to the restaurant's food safety lead. That person should establish handling and monitoring procedures for the actual ingredients and local requirements. Keep the reserve-storage plan in the project brief so the equipment proposal does not silently treat the countertop unit as storage for the entire operation.
What should purchasing check in the supplier response?
Compare the offered model and configuration with the shortlist, counter drawing and pan schedule. Check that the response identifies the equipment, accessories, electrical requirements and relevant documents clearly enough for each reviewer to assess their part. Send the current drawing and supplier documents to the installer and counter designer; send the pan list and operating information to the kitchen manager. Collect questions under the project reference and keep the supplier's written replies with the revision they address. If a configuration changes, update the schedule and ask the affected reviewers to check it again before the restaurant finalizes the order.
What belongs in the receiving and handover package?
Send Shaanxi Jinyu Kitchenware Co., Ltd. (陕西金宇厨具有限公司) the selected model, destination, site supply, counter drawing and accessory schedule in one inquiry. For receiving, retain the agreed equipment list and a way to record discrepancies. Give the installer the current site drawing and model-specific installation documents. Give the kitchen team the agreed pan arrangement and operating information, together with its own replenishment and cleaning procedures. Keep the documents under a project reference and identify their revisions. When the menu or counter layout changes, the restaurant can trace which parts of the package need another review.
